Roundcube (webmail) – How to create and use Templates


Hi and welcome to WOWIT. My name’s Donna. I’m going to walk you through how to create and use templates on Roundcube. So templates are basically canned responses where, in advance, you can enter the text you want to use and make it available for later access. So anything that you need to type more than three times, I would recommend you use a template instead. Now Roundcube is one of the options available if you have set up your email through your web hosting provider. So you can see I’m on Roundcube here on the main page, the mail page. So you want to click on settings and then on the left hand side of your screen you’re going to select responses. And from within responses you want to click on the plus sign. This will create a new response. Within the body of the email you’ll enter your text. Now I’ve created this text in advance – this is a basic customer service response. So we’re going to give this a name and this is related to shipping costs. So we’re going to call this shipping cost. And then we’re going to save. Now you’ll notice this appears in your responses list now. So when you go back to mail and you compose a new response. Within the body of the email place your cursor and then you’ll see the response menu item. You’re going to click that and you’ll see shipping cost is the name of our template and it appears in the list. Now you could create and edit your responses from here. I wanted to show you where they were housed so you understand the setup. So we click shipping cost and there it is. Exactly what you entered is now available so you can quickly and easily respond to your customers. So it’s not just making you more efficient, having these templates ready in advance, but it’s going to make your customer happier because you can get the information to them faster. Basically anything that you might put in a frequently asked question section on your website, those are ideal candidates to have ready in your email when customers contact you.
